Rental Terms and Conditions for Sol Caravan

1. Vehicle Conditions

  1. The Renter acknowledges having received the vehicle and rented extras, along with all legally required documents, in a clean condition and with all features functioning properly.
  2. The Renter agrees to return the vehicle clean, with the same fuel level as when picked up, and with all features functioning normally, on the date, time, and at the return location specified in the Rental Agreement. Failure to meet these criteria will result in additional charges according to the Rental Company’s price list. Any loss or damage to the vehicle, rented extras, equipment, or spare parts will be fully charged to the Renter as per the price list.

2. Documentation

  1. Execution and signing of this Rental Agreement assumes the presence of:
    a. A valid driving license for use in Europe.
    b. A valid identity document or passport.
    c. A valid credit/debit card (Visa, AMEX, or Mastercard).
    All documents were presented at the time of vehicle collection and signing of this Rental Agreement. If the Renter fails to provide the required documents, the vehicle cannot be rented, and the standard no-show fee will apply.
  2. It is the Renter’s responsibility to have a valid driving license for use in Europe.
  3. The Renter must be at least 25 years old and must hold a driving license for min. 2 years. 


The Client declares and guarantees that the documents shared with the Rental Company (and all information contained therein) are true, complete, and valid, particularly concerning the Client’s address and country of residence.

3. Vehicle Usage

  1. The Renter agrees that during the Rental Period, the vehicle will not:
    a. Be driven by anyone not listed as a driver in the Rental Agreement.
    b. Be driven recklessly or dangerously.
    c. Be driven by a person under the influence of alcohol or drugs.
    d. Be left unattended with the key inside the vehicle.
    e. Be damaged by immersion in water, contact with salt water, driving through flooded areas, beaches, or unpaved roads.
    f. Be used for races, contests, or any illegal activity.
    g. Be used for towing any vehicle.
    h. Be used to transport passengers or goods for hire or reward.
    i. Be used to transport more passengers than the legally permitted capacity.
    j. Be used to transport hazardous materials, volatile liquids, gases, explosives, or other corrosive or flammable substances, except for the gas provided by the Rental Company.
    k. Be used to carry or transport items beyond what is reasonably expected for leisure rentals.
    l. Be modified with accessories or advertisements.
    m. Be driven off-road, on closed roads, or on unsuitable paths per local laws and regulations.
  2. The Rental Company is not liable for consequences, damages, losses, and/or expenses arising from the Renter’s failure to comply with points (a) to (m) above.
  3. The Renter acknowledges that the Rental Company retains ownership of the vehicle and will not sell, sublease, loan, or mortgage the car to any other party.
  4. The Renter will not make modifications or additions to the vehicle without prior written consent from the Rental Company.
  5. The Renter will take all reasonable steps to maintain the vehicle properly, including daily checks of oil, water, and batteries, and will contact the Rental Company if the vehicle’s warning lights indicate potential malfunctions.
  6. Any electrical device (including the refrigerator) Shouldn’t be used with the battery for more than 4 hours without recharging the vehicle’s battery daily at campsites, other 220V power sources or during driving.
  7. The Renter is responsible for monitoring weather forecasts, road conditions, and public warnings related to their travels.
  8. This Rental Agreement will be immediately terminated, and the reservation cancelled without judicial intervention if the vehicle is used in violation of this Agreement or to commit a crime. The Rental Company reserves the right to recover the vehicle at any time without notice, and the Renter is responsible for all associated expenses.
  9. The Renter may not sublease or assign the vehicle without prior written consent from the Rental Company.

3.2 Vehicle Replacement

  1. Replacement is permitted only under the following circumstances:

Vehicle Damage or Breakdown:
a. The vehicle is sent to be repaired.
b. The deposit for the first vehicle is charged.
c. A new vehicle of the same category is provided with a new deposit.

Negligence-Related Damage:
a. The deposit is charged.
b. If the deposit is insufficient to cover damages, the remaining balance will also be charged.
c. If the deposit is charged, the Renter may receive a new vehicle after paying a new deposit.
d. If the deposit is not charged, the Renter is not entitled to a replacement vehicle.

Unforeseen Circumstances:
a. The deposit is charged.
b. A replacement vehicle is provided, and a new deposit must be paid.

4. Pets

  • Travelling with a pet is allowed as long as its weight does not exceed 15 kg. The associated fee only covers cleaning the vehicle after the rental period, while the Renter is fully responsible for any damages caused by the pet to the interior or exterior of the vehicle. It is the Renter’s sole responsibility to ensure that the pet travels safely and in compliance with local regulations. The Rental Company is not liable for traffic fines or legal expenses incurred due to the presence of the pet inside the vehicle.

5. Gas Policy

  1. The Rental Company will provide at least one, full camping gas canister. If there are local supply issues or restrictions on purchasing gas imposed by authorities, the Rental Company is not responsible for being unable to supply the gas canister.
  2. The Renter may purchase additional gas canister fillings from third parties during the rental period at their own expense.
  3. Gas connections and canisters vary between countries and may require an adapter for refilling. The provided gas canisters and adapters must not be replaced with foreign alternatives, or an additional fee will apply.

6. AdBlue Policy

  • AdBlue is a diesel exhaust fluid required for modern diesel engine vehicles. Vehicles requiring AdBlue are equipped with a dedicated AdBlue tank, located near the fuel tank. The vehicle’s dashboard will display a warning if the AdBlue level is low.
  • The vehicle will be supplied with sufficient AdBlue for circulation (no AdBlue warning lights active) and must be returned in the same condition. Otherwise, a refuelling fee will be applied.
  • During the rental period, the Renter is responsible for ensuring that the vehicle always has enough fuel and AdBlue to operate without causing engine damage.
  • Additional AdBlue can be purchased at any gas station at the Renter’s expense. The Rental Company will not reimburse the Renter for AdBlue expenses upon vehicle return.

7. Mileage Policy

 

  1. All bookings include a fixed number of kilometres/miles per night at no extra charge. This allowance may vary depending on the season and the number of rental nights.
  2. Renters can opt to add extra mileage packages or unlimited mileage options during the booking process. Any additional kilometres/miles beyond the allowance will be charged at the time of vehicle return.

 

8. Roadside Assistance and Technical Issues

  1. Any issue with the vehicle, including equipment malfunctions, must be immediately reported to the Rental Company to allow resolution during the rental period. Failing to notify the company before seeking external roadside assistance releases the Rental Company from liability.
  2. The Renter must contact the Rental Company before reaching out to any external roadside assistance provider, as the company may be able to offer direct technical support. However, they will not send their own staff for repairs or vehicle replacements unless necessary.
  3. The Rental Company’s roadside assistance covers technical or mechanical failures caused by manufacturing defects or material faults, rendering the part unusable during the warranty period.
  4. The following incidents are excluded from the Rental Company’s roadside assistance:
    a. Running out of fuel.
    b. Keys locked inside the vehicle, damaged keys (e.g., water damage), or lost keys.
    c. Drained batteries caused by improper use of the vehicle or equipment.
    d. The vehicle becomes stuck off-road or on unpaved roads.
    e. Breakdowns resulting from intentional negligence (e.g., off-road driving).
    f. Assistance with changing a flat tyre.
    Any towing or recovery costs resulting from misuse, negligence, or unsafe use will be fully charged to the Renter, in addition to other related costs.
  5. The Rental Company offers 24/7 roadside assistance, though delays may occur outside standard business hours.
  6. In case of a breakdown, the Renter is not authorized to carry out any repairs or modifications unless explicitly approved by the Rental Company and in strict accordance with their instructions. For issues that do not immobilize the vehicle but cannot be resolved on-site, the Renter must move the vehicle to a location specified by the Rental Company. If an accident occurs due to the Renter’s fault, the Rental Company is not obligated to provide a replacement vehicle.
  7. If the vehicle becomes immobilized due to a mechanical failure or accident and cannot be repaired on-site, the Rental Company will arrange for towing to the nearest workshop or rental depot, along with the Renter.

9. Insurance Coverage

  1. The rental vehicle is insured for third-party liability and material damage.
  2. The insurance is valid in the following 32 European countries: Germany, Andorra, Austria, Belgium, Bulgaria, Cyprus, Croatia, Denmark, Slovakia, Slovenia, Spain, Estonia, Finland, France, Greece, Hungary, Ireland, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, Norway, Netherlands, Poland, Portugal, the United Kingdom, Czech Republic, Romania, Sweden, and Switzerland. Driving in any country outside of this list is a breach of the Rental Agreement. The Rental Company is not liable for any damages, breakdowns, or other issues occurring in countries where the insurance is invalid. The Renter will be responsible for repair, transportation, and any administrative or penalty fees resulting from unauthorized use. Additionally, a penalty of €1,000 per day will be charged for using or keeping the vehicle in a country where insurance is not valid.
  3. The insurance only covers the duration specified in the contract. Any damages occurring outside this period are solely the Renter’s responsibility.
  4. The Renter is responsible for damages incurred during their use of the vehicle, up to the amount of the security deposit, considering exclusions listed in clause 11 (“Liabilities”). Each protection plan and deposit only covers the first eligible incident during the rental period. For any additional eligible incidents, the Renter will bear the full cost of repairs. The Rental Company will secure the full deposit amount on the Renter’s credit or debit card.
  5. The Renter can choose from the following protection plans:
    Basic Plan (free):
    • Security deposit: €2,500
    • Maximum casco liability: €1,500 (excluding liabilities listed in clause 11)
    • 24/7 chat support during the rental period
    • Covers damages to third-party vehicles and property
    • No replacement vehicle in case of negligence
    • Coverage for glass or tyre damage

Premium Plan (from €39,50 per night, age 25+):

  • Security deposit: €1000  (for non-casco damages)
  • Casco liability: € 0  (excluding liabilities listed in clause 11)
  • 24/7 chat support
  • Replacement vehicle included (see 3.2)
  • Up to 3 additional drivers included
  • Covers damages to third-party vehicles and property
  • Coverage for glass or tyre damage
  1. All protection plans include 24/7 roadside assistance, including towing to a nearby repair centre in case of an accident or mechanical breakdown.
  2. If a vehicle breakdown is determined to be the Rental Company’s fault, a replacement vehicle will be provided after evaluating the incident.
  3. If the Renter violates any clauses in this agreement, all insurance coverage becomes void, and the Renter will be liable for all damages in full. The Rental Company reserves the right to charge additional costs not covered by the insurance or roadside assistance agreement.

10. Accidents or Vehicle Damage

In the event of an accident or damage to the vehicle, the Renter agrees to follow these procedures:

  1. Immediately notify the Rental Company and local law enforcement of any accidents, theft, or other incidents.
  2. Take photographs and collect names and contact details of all involved parties, as well as witnesses, to document the event.
  3. Complete an accident report with all other vehicles involved, if applicable.
  4. Take necessary precautions to secure and protect the vehicle without leaving it unattended.
  5. Avoid taking responsibility or admitting fault on behalf of the Rental Company in any situation that could hold them liable.
  6. Provide the signed accident report, any police documentation, and the vehicle keys (in case of theft) to the Rental Company without delay. Failure to comply will void all insurance coverage, making the Renter responsible for all expenses.

11. Responsibilities

  1. The Rental Company is not liable for personal injuries during the rental period and advises against leaving valuables visibly unattended in the vehicle. The company is not responsible for loss, theft, or vandalism, nor for damages caused by weather or accidents. Liability is limited to the amount covered by insurance. Any exclusions apply only as permitted by law.
  2. The Renter assumes responsibility for all costs related to the following damages, regardless of the protection plan selected:
  3. a) Damage caused by violating the terms of this agreement.
    b) Incidents caused by reckless behaviour, alcohol or drug influence, or any impairing substances.
    c) Loss, theft, or damage of personal belongings.
    d) Negligence, failure to comply with traffic laws, or ignoring Rental Company instructions.
    e) Recovery or towing costs from restricted or unsafe areas, unless unavoidable.
    f) Replacement of lost, damaged, or stolen keys.
    g) Driving by individuals not listed in the Rental Agreement or with invalid licenses.
    h) Costs related to improper fuel usage.
    i) Damages below the side door line or above the windshield not caused by third-party collisions.
    j) Damage from animal collisions.
    k) Wind-related door damage.

12. Vehicle Return

  1. The vehicle must be returned on the date, time, and location specified in the Rental Agreement.
  2. Changes to the return location, date, or time must be pre-approved in writing by the Rental Company’s reservations team. Additional charges apply and will be communicated in advance.
  3. Unauthorized returns or late deliveries beyond agreed times will incur a fee equivalent to three times the nightly rental rate, payable immediately.
  4. Returns at locations other than agreed will result in the Renter covering all extra expenses.
  5. Failure to return the vehicle to a Rental Company representative makes the Renter liable for losses or damages, including theft.
  6. Equipment and cleanliness: The vehicle comes with a cleaning kit. Missing or damaged items will result in charges.
    • Cleaning for hygiene violations: €300 for evidence of smoking, improper waste disposal,
    • Deep cleaning fee: €125 for vehicles returned significantly dirtier than received.
  7. The Renter will be charged €70 per quarter tank of fuel missing compared to the level at pick-up.

13. Security Deposit and Post-Rental Payments

  1. Deposits are accepted by cash, bank transfer or via credit/debit cards (Visa, AMEX, or Mastercard). The cardholder must be present at pick-up, and the card must support hold authorizations.
  2. If the deposit cannot be authorized, the rental agreement will be void, and the standard cancellation policy applies.
  3. Deposits are refunded at the end of the rental period if the vehicle is returned in its original condition.
  4. Any damages will be charged based on the repair cost of the damages
  5. In accidents where the fault is not determined, the full deposit will be held until insurance liability is confirmed.
  6. Unresolved damage costs will also result in holding the deposit.
  7. The Renter consents to the Rental Company charging additional amounts for parking fines, tolls, damages, or any other penalties.
  8. The Renter must provide an alternative payment method if the primary card fails.

14. Customer Agreement

This agreement contains all terms agreed upon, with no verbal commitments. By making the reservation, the Renter agrees to the Rental Company’s Terms and Conditions.

15. Vehicle Availability

If delivery of the reserved vehicle is affected by delays, theft, accidents, weather, or other events beyond the Rental Company’s control, they may:

  1. Provide a similar vehicle.
  2. Refund the full amount paid without additional compensation, as permitted by law.

16. Data Protection

Personal data provided for this agreement will be processed in accordance with the company’s privacy policy and used for managing rental services or informing customers about offers. Renters have the right to access, amend, or delete their data under GDPR rules.

17. Cancellation Policy

  1. More than 30 days before pick-up: The cancellation fee is 35% of reservation payments made.
  2. 30 to 8 days before pick-up: The cancellation fee is 50% of the confirmed total rental fee.
  3. 7 to 1 day before pick-up: The cancellation fee is 80% of the confirmed total rental fee.
  4. Same-day cancellations: No refund.

The policy may be updated, and it is the Renter’s responsibility to check for changes before booking.
